Parent Teacher Organization (PTO)

The school has a very active Parent Teacher Organisation; there is plenty of opportunity to be involved in this school and it has a nice community feel.

The Parent Teacher Organisation (PTO) supports and enriches the life of the school, not only for the students but for the entire ISL Community. All parents and staff are automatically members of the PTO and are encouraged to participate in PTO activities.

The PTO offers opportunities to meet, share ideas, work together and have fun. Numerous events are organised throughout the school year to welcome new families, create a spirit of community and benefit from the cultural diversity of all.


PTO Roles and Responsibilities

President

  • Coordinate the work of the officers and committees of the organization in order to promote the objectives of the PTO
  • Prepare an agenda and preside over monthly meetings
  • Call for votes as needed
  • Name on PTO bank account
  • Act as liaison between PTO and administration
  • Meet with school Director on a monthly basis during the school year
  • Attend monthly meetings

Vice President

  • Assist the President in coordinating the work of the officers and committees of the organization in order to promote the objectives of the PTO
  • Step into the President’s role in his/her absence or if the position is vacated
  • Manage the bylaws, procedures, and policies
  • Meet with the school Director and President on as regular basis
  • Perform other duties as delegated by the Board
  • Attend monthly board meetings

Recording Secretary

  • Record and maintain the minutes of all meetings of the PTO and submitting them to the President for approval
  • Email the minutes to the Board members in a timely fashion
  • Keep a hard copy of the Board minutes and agenda in the PTO notebook
  • Check the PTO First Class email account on a regular basis and answer/forward information as needed
  • Take care of all correspondence for the PTO
  • Supply the Board with a member’s directory and keep it update
  • Run the election at the Annual General Meeting in April
  • Perform other duties as delegated by the Board
  • Attend monthly board meetings

Communications Secretary

  • Update the PTO information on the website
  • Submit PTO information to the ISL Communications Office for the ISL Highlights and any other vehicles of communication as required
  • Maintain the PTO blog on the ISL website
  • Advert for PTO social events 
  • Act as liaison between the ISL Communications Office and the Board
  • Perform other duties as delegated by the Board
  • Attend monthly board meetings

Treasurer

  • Recommend an annual operating budget for the following school year for vote by the Board at the May monthly meeting and by the general membership at the Annual General Meeting in June
  • Present a hard copy of the PTO financial statement at all monthly meetings
  • Present financial statements for individual PTO Events as needed
  • Receive all monies generated by the organization
  • Keep an accurate record of receipts and expenditures
  • Pay all expenditures as authorized by the Board 
  • Verify all class funds at the end of the year and project the needs for the following year (This information is provided by the School Coordinators)
  • Submit the accounts of the PTO for verification at the end of each PTO board year
  • Manage PTO bank account
  • Perform other duties as delegated by the Board
  • Attend monthly board meetings

Social Events Chair(s)

  • Organize and oversee a team of volunteers to provide the school with at least two social events per year
  • In the event that a chairperson of a social event is unable to continue with their duties, it is the responsibility of the Social Chairperson to step into the role or find a suitable replacement
  • Work with the PTO board to reach a decision concerning the dates and nature of the social events
  • Perform other duties as delegated by the Board
  • Attend monthly board meetings

School Coordinators (Lower School and US School)

  • Organize and oversee the Room Parent Teams
  • Set up coffee/information meetings for room parents
  • Set up meetings three times a year with the Room Parent Teams
  • Liaison between school level Principal/Deputy Principal, Room Parent Team, and the PTO board
  • Provide a list of the Room Parent Teams per class to the Board
  • Organize the Teacher/Staff Appreciation Luncheon
  • Present information to the PTO board about ongoing activities in each grade level
  • Keep updated information on class funds and make sure all funds are used for the classrooms at the end of the year
  • Provide class room fund information for all grades to the Treasurer at the end of the year
  • Present an activity list and class funds report for each grade at the end of the year
  • Attend monthly board meetings
  • Perform other duties as delegated by the Board

Volunteer Coordinator

  • Solicit PTO volunteers during Back to School events
  • Maintain a database of volunteers
  • Provide ongoing volunteer information for various PTO and classroom/grade level events
  • Act as liaison with the ISL CAS student coordinator, requesting CAS student volunteers for PTO events as necessary.
  • Attend monthly board meetings
